Photography

The atmosphere. Every exhibitor.

Edited coverage of the VIP experience, ribbon cutting, group photographs, Discovery Zone, masterclasses, food workshops and the wider event.

  • 3–4 photographs of every exhibitor table, showing signage, products and the people presenting them.
  • Sponsor branding, event materials, registration, venue details, food, wine and guest interactions.
  • 30 selected general-event photographs by October 7.
  • The full edited gallery by October 13.
Video

A 2–2.5-minute event recap.

A story with a beginning, middle and end, combining the setting, tastings, speakers and human moments with 5–6 testimonial interviews.

  • Full HD, 1920 × 1080, for YouTube and website use.
  • Video coverage of every exhibitor table, key activities and the indoor and outdoor setting.
  • Opening and closing graphics, logos and speaker name/title treatments supplied and approved through Gregory + Vine.
  • First draft by October 13. Final video by October 20.

We’ll track coverage of every table. The recap will draw from that footage, with screen time shaped by the story and the agreed running time.

Getting ready together.

Creative storyboard, coordinated shot list, interview planning, venue walkthrough and a final preproduction call. A dedicated project website will keep production documents, the shot list and team contact information in one place.

Keeping up with the day.

With workshops, tastings and interviews happening at the same time, we’ll assign the team around the shots you need and the schedule we’ve agreed.

Morning · from 10 a.m.The VIP experience

Discovery Zone in Txula, breakfast and the VIP masterclass in Oyamel, followed by the preview walkaround.

  • Capture place settings and tasting materials before guests arrive.
  • Cover speakers, audience reactions, tasting and networking.
  • Coordinate approved VIP interviews during the quieter morning windows.
12:55 p.m. · draft scheduleThe opening moment

Protect the ribbon cutting at the main entrance with a coordinated wide view, close details and reactions. Organize required representative and VIP group photographs with the Gregory + Vine team.

Afternoon · table sweep 1–4 p.m.The exhibitors & tastings

Work from the final exhibitor roster across regional tables and bars, the Food and Wine Zone and the Discovery Zone. Track signage, products and presenting personnel, alongside pours, tastings and conversations.

Capture a range of perspectives so the edit can move naturally from a wide setting to a detail and a guest reaction.

Throughout the afternoonThe workshops & masterclasses

Coordinate overlapping activity in Oyamel, Mar and Txula, including the simultaneous pre-session setups. Cover tasting displays, speakers in action, chefs, jamón, food preparation and audience engagement.

Interview windows will be coordinated around speaker availability after their sessions. Coverage provides event highlights rather than full-length session recordings.

Closing receptionThe people coming together

Gather the spontaneous conversations, shared glasses and relaxed moments during the closing reception. These give the closing sequence its warmth and sense of reunion.

This plan follows the supplied draft schedule. The RFP lists 10 a.m.–6 p.m.; the reception schedule extends to 6:30 p.m. We’ll confirm the coverage end and reconcile workshop timings together before locking the plan.

Dedicated to food and venue coverage, including the exhibitor tables, tastings and scheduled activities on the approved shot list.

Available for last-minute requests, required shots and coverage in another area when the other photographers are occupied.
